What does our debtor management cover?
We manage the complete receivables cycle – from the creation of a receivable to its settlement. Specifically, we take on the following tasks:
Invoicing and dispatch with the goods
For every delivery we create the matching outgoing invoice and send it together with the parcel. Invoice and goods issue therefore always match – discrepancies between delivery note, invoice and dispatch date do not arise in the first place.
Transfer into the accounting software
All outgoing invoices are transferred into the accounting software in a structured way. This creates an always up-to-date picture of open items, which is the basis for all further steps.
Collection management and SEPA files
For customers with a valid SEPA direct debit mandate, we generate the SEPA collection files (XML format per ISO 20022) based on the open invoices and provide them ready for submission to the bank. We keep an eye on due dates, lead times and mandate data.
Payment reconciliation and open-item management
We reconcile the bank statements against the open invoices and clear the incoming payments. We resolve partial payments, returned debits and unassignable receipts. You receive a clean, continuously maintained open-item list instead of a pile of grown figures.
Dunning in the event of non-payment
If a payment fails to arrive, a coordinated dunning process kicks in: payment reminder, dunning levels and – according to your specifications – handover to a collection agency or lawyer. We define deadlines and escalation levels together with you.
